Conference Guidelines

Your experience is important to us! Here are some basic guidelines that will ensure a comfortable, safe and seamless conference experience.

At our conference, we uphold a respectful code of conduct that applies to all participants, including attendees, sponsors, and our team. We kindly request everyone to adhere to the following guidelines:

  1. Show consideration and respect: Please treat all community members with consideration and respect. Embrace diversity, listen to different perspectives, and engage in constructive dialogue.
  2. Avoid demeaning or harassing behavior: Refrain from engaging in any form of demeaning, discriminatory, or harassing behavior, including the use of offensive language, materials, or speech. Foster an inclusive and welcoming environment for all.
  3. Report misconduct: If you witness any misconduct during the conference, we encourage you to speak up and notify a member of the organizing team. Your prompt action helps us maintain a safe and respectful space for everyone.
  4. No recording of content: To protect the intellectual property rights and privacy of our presenters, we kindly request that you do not record any content being presented at the conference. This includes audio, video, or photography.
  5. Obtain consent for photography: It is important to respect the privacy and comfort of others. Please refrain from taking photos or recording any individual without obtaining their explicit consent.
  6. Respectful interactions: Foster connections and interactions among participants. Engage in conversations and networking in common areas without disturbing ongoing talks or sessions.
  7. Maintaining discipline: To minimize distractions and disruptions, kindly keep your mobile phones on silent mode during talks. Please maintain discipline and attentiveness throughout the sessions.

At our conference, we are dedicated to reducing plastic waste and promoting sustainability. Here's how you can contribute:

  1. Bring your own water bottle: We encourage all attendees to bring their own reusable water bottles. Water refill points will be conveniently located at the venue, allowing you to refill your bottle throughout the event.
  2. Sponsorship materials: We kindly request our sponsors to prioritize environmentally friendly alternatives when it comes to booth materials. Please refrain from using plastic-based materials such as backdrop posters. Opt for sustainable options that align with our commitment to minimizing waste.

By collectively adopting these practices, we can make a positive impact on the environment and foster a more sustainable conference experience.

To ensure a smooth and enjoyable conference experience, please take note of the following guidelines:

  1. Confirmation email: Upon registering for the conference, you will receive a confirmation email within a few minutes. This email will contain important details about the conference, including your registration confirmation.
  2. Conference pass inclusions: Each conference pass includes morning tea, lunch, and evening tea for the two days of the conference and dinner for the first day only. These refreshments will be provided during the designated times.
  3. Tentative schedule: The conference's tentative schedule will be posted by March 1, 2024. Please refer to the schedule for session timings and plan your attendance accordingly.
  4. Cancellation policy: If you wish to cancel your conference pass, a full refund will be available until February 15, 2024. Please note that after this date, no refunds will be provided for cancellations.

If you are speaking at the conference, please take note of the following guidelines:

  1. Relevant topic: Your presentation must be focused on Frappe products or open-source topics.
  2. Prohibited content: Ensure that your talk does not include:
    a. Unparliamentary language
    b. Discussion or portrayal of violence
    c. Obscenity
    d. Religions, political, or communal agendas
    e. Promotions for third-party products or services
  3. Topic submission: As a registered speaker, please share your topics and presentations with Frappe via email by February 15, 2024.
  4. Mock presentation: A practice session will be scheduled between February 15th - 25th, allowing you to rehearse and deliver your talk.
  5. Talk selection: Frappe reviews all talk and presentation entries to ensure the best quality content for the conference. Selected speakers will be invited to present on the main days of the event.
  6. Confirmation required: If you do not receive confirmation from the Frappe team by February 25th, your talk will not be permitted during the conference.
  7. Communication: All important information, including presentation order, date, and time, will be communicated via email.
  8. Arrival time: Please be present at the presentation venue at least 1 hour prior to your scheduled talk to allow sufficient time for setup.
  9. Time allocation: Each speaker will have 20 minutes for their presentation, including a 5-minute Q&A session at the end.
